Automatically create new Zoho CRM leads in Verse, sync qualification data, update lead statuses, and more.

You will need:

  • A Zapier account (If you're unfamiliar with Zapier, we highly recommend checking out our Zapier article here to learn more.)

  • Verse API Key

  • Your Zoho admin login credentials

Connect your Zoho Account in Zapier to Get Started

When you start creating a Zoho CRM Zap, you will be asked to connect your Zoho CRM account.

In this dialog, you'll need to select your Zoho Account's Domain. You can find this by checking your browser's address bar while logged into your Zoho Account. Once your domain is selected, click "Yes, continue".

You’ll now be asked to log into your Zoho CRM account (unless you are already logged in).

Next, you'll need to authorize Zapier's access to your information by clicking "Accept"

If all steps were successful your Zoho CRM account will now be successfully connected.


Automatically send new leads created in Zoho CRM to Verse

Sending new leads from Zoho CRM to Verse automatically is quick and easy. There are primarily two ways to get leads over from Zoho automatically.

  • When a new lead is created in Zoho, and meets the criteria

  • When a lead is updated in Zoho to meet the criteria

The most common method that is used is based on a new lead being created, which is what we'll walk you through here below.

Note: In order to sync this data over to from CRM in real-time, we recommend leveraging Zapier. If you're unfamiliar with Zapier, we highly recommend checking out our article here to learn more.

Start the process by creating a new Zap.

Step 1) Add a "New Lead" Zoho CRM Trigger

The first step in this process is to select the "New Lead" Zoho CRM Trigger and click continue.

After selecting or authenticating your Zoho CRM account, pull in a recent sample to use, then click continue.

Step 2) Add a Zapier Filter Step (Optional)

If you don't want to send every new lead created in Zoho CRM over to Verse, make sure to add a Zapier Filter step, which will allow you to filter by any field in Zoho CRM. The best practice is to filter by Lead Source.

Step 3) Add a "Create Lead" Verse Action

Next, start by adding the "Create Lead" Verse Action to your zap.

Note: you'll be asked to authenticate with your Verse account if you haven't already done so. If this is your first time authenticating Verse with Zapier, check out our How to Get Started with Verse on Zapier Guide.

Next, you will map over all the standard fields into Verse. The fields Verse accepts are:

  • First Name

  • Last Name

  • Email

  • Phone Number

  • Lead Type

  • Lead Address

  • Lead Source

  • External Lead Id - please store your Zoho CRM Lead Id here

As noted above, storing your Zoho CRM record id into the Verse "External Lead Id" field is extremely important, as that is needed for sync data back later on.

Lastly, you'll be asked Send a Test Lead to Verse. This will actually create a real lead in Verse, and the Verse platform will begin engaging with that lead, so please be aware not to send a real past lead into the platform by mistake. You can click on "Skip Test" to avoid. Otherwise, if you do end up sending in a test lead inadvertently, you can quickly end the convo from the Verse dashboard- see article here for more info.

Update Lead Status and Qualification Summary in Zoho CRM

You can automatically update your leads in Zoho CRM with Verse qualification summary, sync custom qualification data that Verse collects over to corresponding fields in Zoho CRM, and update your Lead Status in Zoho CRM so that your sales team can take it from there.

Start the process by creating a new Zap.

Step 1) Add a "New Qualified Lead" Verse Trigger

The first step in this process is to select the "New Qualified Lead" Verse Trigger.

Note: you'll be asked to authenticate with your Verse account if you haven't already done so. If this is your first time authenticating Verse with Zapier, check out our How to Get Started with Verse on Zapier Guide.

Step 2) Add an "Update Module Entry" Zoho CRM Action

Next, add a Zoho CRM step and select the "Update Module Entry" action event and click Continue.

Afterwards, select the Lead module. Then, and most importantly, map the "External Lead ID" field from Verse into the "Entry ID" field in your Zap. When you click into the "Entry ID" entry, make sure to click over to the "Custom" tab to find the "External Lead ID" field.

It should then look like the screenshot below.

**Note: If for some reason your Verse leads don't have an External Lead ID stored with your setup, you'll need to add a "Find Record" step in your Zap as part the process.

Step 3) Map over your Verse Summary and Lead Status

The final step is to map over any custom data fields over to your record, but the two fields you'll want to focus on are Lead Status and "Verse Summary".

  • Status - Best practice is to create a new lead status pick-list value in Zoho CRM like "Qualified" as an example. This allows your sales team to clearly see that a lead was qualified by Verse and can take the next steps from there. You can also use existing status fields like a simple "Qualified" or whichever fields your organization uses.

  • Verse Summary- The Verse Summary contains the full summary of Verse's conversation with your lead, including your custom qualification data, along with any additional custom notes left by the Verse rep that qualified your lead. This data can be mapped to a corresponding custom field in Zoho CRM like "Verse Summary Notes" for example, and can also be mapped to a standard Zoho CRM field like "Description" as seen in screenshot below.

Note: For Unqualified Lead updates, it's pretty much the same thing, but uses it's own trigger so you can better control status and log reason's unqualified.

Archive Leads and Log the Reason Unqualified Info

You can automatically update your leads in Zoho CRM when Verse unqualifies a lead, so can store the reasons unqualified and store the data to report on later.

Start the process by creating a new Zap.

Step 1) Add a "New Unqualified Lead" Verse Trigger

The first step in this process is to select the "New Unqualified Lead" Verse Trigger.

Note: you'll be asked to authenticate with your Verse account if you haven't already done so. If this is your first time authenticating Verse with Zapier, check out our How to Get Started with Verse on Zapier Guide.

Step 2) Add an "Update Module Entry" Zoho CRM Action

Next, add a Zoho CRM step and select the "Update Module Entry" action event and click Continue.

Afterwards, select the Lead module. Then, and most importantly, map the "External Lead ID" field from Verse into the "Entry ID" field in your Zap. When you click into the "Entry ID" entry, make sure to click over to the "Custom" tab to find the "External Lead ID" field.

It should then look like the screenshot below.

**Note: If for some reason your Verse leads don't have an External Lead ID stored with your setup, you'll need to add a "Find Record" step in your Zap as part the process.

Step 3) Map over your Verse Summary and Lead Status

The final step is to map over any custom data fields over to your record, but the two fields you'll want to focus on are Lead Status and "Verse Summary".

  • Status - Best practice is to update this field to whatever is standard used in your Zoho CRM for archiving and organizing unconverted leads.

  • Verse Summary- The Verse Summary contains the full summary of Verse's conversation with your lead, including your custom unqualification data, along with any additional custom notes left by the Verse rep that unqualified your lead. This data can be mapped to a corresponding custom field in Zoho CRM like "Verse Summary Notes" for example, and can also be mapped to a standard Zoho CRM field like "Description" as seen in screenshot below.

  • Reason Unqualified - This will also be included in the Verse Summary above, but some customers like to store this to a separate custom field which can be leveraged by marketing teams to better email nurture leads long term. The reasons unqualified vary but include the following values: "Not interested", "Inaccurate contact info", "Criteria not met", "Unresponsive", "Stop Contact", and "Spam".

Automatically log SMS conversations, notes, call attempts, and emails in Zoho CRM

Log all Verse activity in Zoho CRM automatically, making it easier for your sales team to reference and keep track of activity with each lead.

You can log each conversation in real time as it's happening so it can easily be referenced within your Zoho CRM Activity History for each lead. This includes 2-way SMS transcripts, notes left by Verse reps, Verse Call Attempt logs, and email attempts. Your sales team will be able to easily reference a complete interaction history with each lead.

Start the process by creating a new Zap.


Step 1) Add a "New Lead Activity" Verse Trigger

The first step in this process is to select the "New Lead Activity" Verse Trigger.

Note: you'll be asked to authenticate with your Verse account if you haven't already done so. If this is your first time authenticating Verse with Zapier, check out our How to Get Started with Verse on Zapier Guide.

Step 2) Add a "Create Module Entry" Zoho CRM Action

Next, add a Zoho CRM step and select the "Create Module Entry" action type and click Continue.

Afterwards, select the Task module, and then you should must map the following
4 fields:

  • Subject: select the "Verse Type" from Verse custom fields. This will include subject lines like "Outbound SMS" and "Outbound Call Attempt".

  • Parent ID: select the "External Lead ID" from Verse custom fields. This will associate the task to your lead in Zoho CRM.

  • Status: it's best practice to set this to "Completed".

  • Description: select the "Verse Note" from Verse custom fields. This will include the sms content and more.

Other Optional fields you may want to update dependent on your Zoho CRM needs are:

  • Task Owner

  • Type

  • Assigned To

  • etc..

End Verse Engagement from Zoho CRM

End a verse conversation on a lead right from Zoho CRM automatically is quick and easy. The first step in the process is is to setup a trigger from Zoho CRM that would determine when to End a Convo in Verse. There are many ways to go about this, but some common trigger points used are as follows

  • When a new opportunity is created in Zoho CRM, and meets the criteria.

  • When a lead status is updated in Zoho CRM to meet the criteria

Start the process by creating a new Zap.

Step 1) Add a "Updated Module Entry" Zoho CRM Trigger

The first step in this process is to select the "Updated Module Entry" Zoho CRM Trigger and click continue.

After selecting or authenticating your Zoho CRM account, select the Leads module.

You can further customize this zap by adding a "Filter by Zapier" as seen in the example below. You can use these filters to further customize your Zoho CRM workflow to end conversations.

Step 2) Add a "End Conversation (Qualify)" or "Stop Conversation (Unqualify)" Verse Action

Next, start by adding an "End Conversation (Qualify)" or "Stop Conversation (Unqualify)" Verse Action to your zap. For example, if you're sending over "Do Not Contact" triggers over, you'll probably want to select "Stop Conversation" as the action which Unqualifies the lead in Verse. However if you're triggering from a lead conversion event like "Qualified" status update in Zoho CRM, you'll want to use the "End Conversation" action which Qualifies the lead in Verse. In both cases, Verse will End Engagement with the lead.

Next, all you need to do is merge in either the phone or email field from Zoho CRM, which is what we'll use to find a matching lead in Verse.
